The Challenge: Excel Was Holding Summit Earth Back

In the early days, Summit Earth managed their entire project portfolio through Excel spreadsheets. Robin Weseen, VP of Operations, describes how quickly that approach broke down as the company grew.

Critical data was disappearing. Spreadsheets stored locally on personal devices meant information lived in silos. “In our early years, we had entire folders go missing and we didn’t know where they could have gone. Maybe some summer student went in there and accidentally deleted them and didn’t really understand what he was doing.” In an Excel-based system, there was always a greater possibility of accidental deletion. Information was being painstakingly collected in the field, then stored in a system where it could simply get lost.

Staff turnover erased project history. When project managers left, their institutional knowledge walked out the door with them. New PMs couldn’t just pick up where the previous manager left off. Entire project histories vanished. Robin puts the cost in perspective: “You might end up getting a site to its rec certification a full year later because information was lost when a project manager left.”

Personal devices created real liability. Without centralized storage, employees worked from their own laptops and hard drives. “We had a guy who always worked off his laptop and his information was just in there, not in any central location. He went to Hawaii for two weeks and the client needed his reports for a board meeting, and we had no way to provide the information.” Legacy software solutions required too much training, so they went unused when they were needed most.

Budget overruns caught too late. Without centralized cost tracking, projects frequently exceeded budgets with little warning. By the time overruns were caught, the damage was done and the client relationship took the hit.
